StriveSEN is a specialist SEN tutoring and learning support service based in North West London. We provide structured small-group and one-to-one tutoring sessions for children with special educational needs, including those with autism, ADHD, and other additional needs.

  • Submit an initial assessment form or contact form

  • Enquire about or enrol your child in our tutoring programmes

  • Communicate with us by email, telephone, or in person

  • Apply to work with us as a tutor or partner organisation

We are committed to protecting your personal data in accordance with the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018.

3. Information We Collect

3.1 Parent/Carer Information
  • Full name

  • Email address

  • Telephone number

  • Postal address (where relevant to service delivery)

3.2 Child Information
  • Child’s first name and surname

  • School year

  • Main learning concerns (e.g. difficulty focusing, low confidence, behaviour challenges)

  • Learning behaviours (e.g. avoids learning, gets distracted easily, becomes frustrated quickly)

  • Any additional context provided by the parent/carer

  • Details from Education, Health and Care Plans (EHCPs) where shared with us

  • Assessment notes and session progress records

3.3 Special Category Data

Some of the information we collect about children relates to their special educational needs, disabilities, and health. This is classified as “special category data” under UK GDPR and is subject to additional safeguards. We process this data on the basis of your explicit consent, and because it is necessary for the provision of health, social care, or educational support (Article 9(2)(a) and (g) UK GDPR, and Schedule 1, Part 2, Paragraph 18 of the Data Protection Act 2018).

3.5 Tutor and Partner Enquiries

If you contact us about working with StriveSEN as a tutor or partner organisation, we may collect your name, contact details, qualifications, DBS status, and relevant professional experience.

4. How We Use Your Information

We use the information we collect to:

  • Assess your child’s learning needs and readiness for our programmes

  • Place your child in the most appropriate programme or support tier

  • Deliver tailored tutoring sessions aligned with your child’s needs and, where applicable, their EHCP outcomes

  • Track progress and provide session reports to parents/carers

  • Communicate with you about your child’s sessions, progress, and any changes to our service

  • Respond to enquiries submitted through our contact or assessment forms

  • Comply with our safeguarding obligations

  • Process tutor applications and partnership enquiries

  • Improve our website and services

5. Lawful Basis for Processing

We rely on the following lawful bases under UK GDPR:

  • Consent (Article 6(1)(a)): When you submit an assessment form or contact us, you consent to us processing your and your child’s data for the purposes described. For special category data, we rely on your explicit consent (Article 9(2)(a)).

  • Legitimate interests (Article 6(1)(f)): To respond to enquiries, improve our services, and manage our business operations, where this does not override your rights.

  • Legal obligation (Article 6(1)(c)): Where we are required to process data to comply with safeguarding duties or other legal requirements.

  • Contract (Article 6(1)(b)): Where processing is necessary to deliver our tutoring services to your child following enrolment.

You may withdraw your consent at any time by contacting us at hello@strivesen.com. Withdrawing consent does not affect the lawfulness of processing carried out before withdrawal.

6. Who We Share Your Data With

We do not sell, rent, or trade your personal data. We may share information with:

  • Our tutors: Tutors working with your child will have access to relevant information needed to deliver effective sessions.

  • Schools and local authorities: Only where you have given us permission, or where we are required to do so for safeguarding purposes or EHCP-related coordination.

  • Safeguarding authorities: If we have concerns about a child’s safety, we are legally obliged to share relevant information with the appropriate authorities, regardless of consent.

  • Service providers: We may use third-party platforms for form processing, email communication, and website hosting. These providers process data on our behalf and are contractually required to protect your information.

We will never share your data with third parties for marketing purposes.

7. How We Store and Protect Your Data

We take the security of your data seriously. We implement appropriate technical and organisational measures to protect personal information from unauthorised access, loss, or misuse. These include:

  • Secure, password-protected systems for storing client records

  • Limiting access to personal data to authorised staff and tutors only

  • Encrypted communication where possible

  • Regular review of our data security practices

Personal data is stored within the UK and European Economic Area. If any data is transferred outside this area, we will ensure appropriate safeguards are in place.

8. How Long We Keep Your Data

We retain personal data only for as long as necessary:

  • Enquiries and assessment forms: If your child does not enrol, we will retain your data for up to 12 months after your last contact, then securely delete it.

  • Enrolled children: We retain session records, progress reports, and related data for 3 years after the child’s last session with us, or until the child reaches the age of 25 (whichever is later), in line with safeguarding best practice.

  • Tutor and partner enquiries: Retained for up to 12 months if the application does not proceed.

  • Financial records: Retained for 6 years in line with HMRC requirements.

After the relevant retention period, data is securely deleted or anonymised.

9. Your Rights

Under UK GDPR, you have the following rights:

  • Right of access: You can request a copy of the personal data we hold about you or your child.

  • Right to rectification: You can ask us to correct inaccurate or incomplete information.

  • Right to erasure: You can ask us to delete your data, subject to any legal obligations we must comply with.

  • Right to restrict processing: You can ask us to limit how we use your data in certain circumstances.

  • Right to data portability: You can request your data in a structured, commonly used, machine-readable format.

  • Right to object: You can object to processing based on legitimate interests.

  • Right to withdraw consent: Where processing is based on consent, you can withdraw it at any time.
